About the role
As Office Coordinator you will help create a safe, efficient, and enjoyable workplace experience in our Amsterdam office. Working closely with HR/People Ops, IT, Finance, the Management Team, and external vendors, you will be the central point of contact for office operations, facilities coordination, onboarding/offboarding logistics, travel support, and employee events.
Your work will directly support employees by keeping the office running smoothly and consistently - from meeting spaces and office set-up to shared areas and hygiene standards. You’ll also help bring people together by supporting team moments and events that strengthen and reflect Newzoo culture.
This is a hands-on, varied role with real ownership and visible impact on the everyday employee experience.
Your responsibilities
Office operations & office space
Coordinate day-to-day office operations and support effective use of the office space.
Act as the central point of contact for office-related topics for employees, HR/People Ops, Finance, IT, and the Management Team.
Coordinate office vendors and services (e.g., cleaning, maintenance, suppliers) and follow up to ensure agreed standards are met across shared areas (kitchen, meeting rooms, common spaces).
Coordinate facilities topics and maintenance requests with building management/landlord and vendors where needed, and act as the office safety officer: organize BHV courses, serve as fire marshal and first aid officer, and keep first aid supplies and health and safety policies up to date.
Ensure the office is well stocked (pantry, drinks, and essential supplies) and manage ordering/replenishment.
Coordinate the office lunch solution (e.g., delivered lunch/catering), including vendors, orders, and supplies as needed.
Organize incoming mail and packages.
Keep meeting spaces and shared areas operational and well set up (rooms ready, supplies available, issues addressed quickly).
Travel support
Support employees with travel bookings (flights, hotels, and other reservations as needed) in a timely and cost-effective way.
Events, meetings & culture
Own the planning and coordination of office events and team moments that bring people together and support Newzoo culture.
Support meeting and training logistics (room set-up, supplies, scheduling support as needed) to ensure smooth delivery.
Onboarding & Offboarding (IT & welcome pack)
Own onboarding set-up to ensure new hires are ready for Day 1, including coordinating the IT kit and preparing the Newzoo welcome pack.
Own the operational offboarding process to ensure company property is returned (IT kit, access items, and any other Newzoo property) and that relevant stakeholders are informed so access can be disabled.
Ad hoc
Take ownership of ad hoc projects and support improvements to office routines and the employee experience as needed.
Your profile
3+ years of experience in office coordination, office administration, workplace operations, or a similar role, including experience working in the Netherlands.
Highly organized and structured: you can keep multiple streams moving (office operations, vendors, travel, events, onboarding/offboarding) and stay on top of details through checklists and planning.
Strong eye for detail and high standards: you notice when something is off (meeting room set-up, supplies, shared spaces) and make sure it gets resolved quickly - hands-on or via the right vendor.
Strong stakeholder management: you work smoothly with HR/People Ops, IT, Finance, and the Management Team, align expectations, and keep people informed with clear updates.
Comfortable coordinating vendors and services (cleaning, maintenance, suppliers): you can brief, schedule, and follow up to ensure quality and consistency.
Clear, friendly, and proactive communicator: you’re approachable for employees and confident asking clarifying questions to get things done efficiently.
Practical “make it happen” mindset: you’re resourceful, solutions-oriented, and take ownership from start to finish.
Fluent English required (spoken and written); Dutch is a plus.
